This Privacy Policy explains what The Villages of Avalon HOA website does with information submitted through the site, and how it is kept safe.

Information we collect
Information submitted through the website may include:
- Contact form submissions
- Event registration information
- Clubhouse reservation requests (architectural review applications are emailed to the Architectural Review Board (ARB) mailbox printed on the application and are not submitted through this website)
- Mailing list signup information
- Basic technical information kept in the host's server logs

- Send requested community emails
- Maintain website security and performance
- Meet association administrative and legal responsibilities
Third-party services
The website is hosted by Cloudflare Pages, which keeps standard server logs for security and performance. Forms are delivered by Web3Forms, which emails each submission to the Association Manager (or, for event registrations and Social Committee sign-ups, to the Social Committee) and keeps its own copy for up to three years. Assessment accounts live in the Vantaca resident portal, operated by Inframark, which has its own privacy practices. The site does not use advertising or analytics services.
Payment information
Assessment payments occur through Vantaca, and the HOA website does not collect card or banking information of any kind. Clubhouse rental fees and deposits are paid by check to the Association Manager, and any event fees are collected by the Social Committee, not through this website.
Cookies and analytics
The website sets no cookies and runs no analytics or tracking. Your browser remembers two small things, on your own device only: that you asked not to see the resident portal reminder again, and that you closed the green notice bar during this visit. The forms catch automated spam with a hidden field instead of asking you to prove you are human.
Data security
The HOA maintains reasonable safeguards intended to protect submitted information. No method of transmission or storage is perfectly secure, and absolute security cannot be guaranteed.
Data retention
Form submissions are emailed to the Association Manager, or to the Social Committee for event registrations and committee sign-ups, and handled as association records under the association's record-keeping practices and Florida law. The form service keeps its own copy of each submission, including any uploaded files, for up to three years, after which it is deleted.
